Scanning batches and serial numbers: GS1 code, IMEI and stock check in weclapp

One scan on the box selects item and batch, and the best-before date in the code is checked against stock.

Anyone shipping batch-controlled products knows the problem: the right batch is on the shelf, but at the packing station it is chosen from a list, and a typo ends up in the traceability. Fulfillment 4 weclapp reads GS1-128 and GS1 DataMatrix codes with GTIN, batch and best-before date in one scan, checks stock in weclapp and books the quantity to exactly this batch. You scan serial numbers and IMEI either against weclapp stock (items with a serial number requirement) or, if you prefer to keep them in the delivery line, via the comment scan with IMEI check and duplicate protection. Here you will find how this works and which stock situations the app rejects.

Scanning batches and serial numbers: GS1 code, IMEI and stock check in weclapp

How it works

01

Scan the GS1 code

The code on the box contains the GTIN (01), batch (10) and, optionally, the best-before date (17). The app finds the line via the GTIN, selects the batch and books the accepted quantity to it. It skips any other identifiers in the code; if the best-before date differs from stock, it warns you.

02

Or scan the batch number

If only the batch number is on the product as a barcode, that is enough too. The app assigns it to the matching batch-controlled line.

03

Scan serial numbers

For items with a serial number requirement, you scan the exact serial number from weclapp stock. Duplicate scans are detected, and the quantity is checked against the delivery.

04

Or scan serial numbers and IMEI into the comment

With the comment scan, the scanned numbers end up in the line comment of the delivery. IMEI are checked for check digit, duplicates and count. The custom attributes "Scan serial numbers" and "Scan IMEI" control which items this applies to.

05

Let the app check stock

The app queries stock in weclapp and tells you clearly why a scan does not work: batch not in the delivery, not in stock, reserved for other sales orders or already fully assigned.

06

Ship

As with the item scan: all lines confirmed, label printed, delivery shipped in weclapp. Batch and serial number appear as a withdrawal in the weclapp delivery, with the comment scan in the line comment.

Who it's for

Batches and best-before dates

Manufacturers and retailers of dietary supplements, ingredients and cosmetics with batch control and best-before dates, and shippers of products with GS1 coding.

Serial numbers and IMEI

Shippers of electronics and devices with serial number or IMEI requirements, including B2B shipments with freight forwarders.

Traceability per delivery

Businesses that want to record the delivered batch and serial number per delivery in weclapp.

Limits, honestly

Requirement on the item

The item must be batch-controlled or serial-number-controlled in weclapp, or marked via a custom attribute for the comment scan. Without this marking, the normal EAN scan applies.

GS1 scan on activation

We activate the GS1 batch scan for you; it is not a setting you change yourself in the app. For DataMatrix codes you need a 2D scanner.

Reserved batches

If a batch is physically there but reserved for other sales orders, the app rejects the scan and says so. You resolve the reservation in weclapp.

Best-before date is a warning only

A deviating best-before date in the code is a warning, not a block. If you want a hard block, we need to agree on it with you.

Manual batch selection locked

As soon as an item has been started with a batch scan, manual batch selection is locked for this item until you reset the progress. This prevents mixed assignments.

Frequently asked questions

Does the GS1 code have to come from a specific scanner?

No. Any 2D scanner in keyboard mode works; the app normalizes the usual variants of the separator that scanners send for GS1 codes.

What about batches that are only printed in plain text?

Then you scan the EAN and choose the batch manually from weclapp stock. The advantage of the deterministic scan is lost; traceability in weclapp remains.

Can I combine batch and box scan?

Yes. The batch is assigned to the parcel that is currently open. More at Multi-parcel shipping.
