Fulfillment 4 weclapp

Scan workflow with weclapp: all scan modes at a glance

From delivery note to item, box and cart: which scan mode fits your packing table.

With Fulfillment 4 weclapp, your packing station becomes a scan station: you scan the delivery note, confirm the goods by EAN, batch or serial number, and the shipping scan (or, if enabled, automatically the last item scan) creates the shipping label and the status “Shipped” in weclapp. Which scan modes exist, how packers use them in everyday work and what needs to be prepared in weclapp for it is summarized on this page, honestly described, including the limits.

The scan modes at a glance

Each mode has its own page with workflow, target group and limits.

Scan delivery note, print label

The starting point: scan the delivery number, open the delivery, finish with the shipping scan. Optionally by sales order number, by the tracking number of an external label or as a paperless delivery list. How it works

Icon: checklist

Packing check by barcode

Confirm every line by EAN, the counter keeps track, and shipping only happens once everything matches. With bills of materials, temporary saving and partial quantities including a remaining delivery. How it works

Icon: comparison

Batches and serial numbers

GS1-128 or DataMatrix code on the box, simple batch number, serial number or IMEI: the app selects batch and stock deterministically. How it works

Icon: warehouse

Multi-package shipping

Scan the box, assign items, one label per package. Quantity and weight limits, default box per shipping method, box stock in weclapp. How it works

Icon: rocket

Batch picking with Turbo Label

Pick several deliveries of one shipping method on one cart, generate labels in advance and print them on the item scan. For shops with many single-item sales orders. How it works

QR code login at the packing station

Sign in with a QR label instead of a password, revocable, for shared packing stations and handhelds. How it works

Which scan mode fits you?

The modes depend less on the industry than on your packing station. Typical setups, as we see them with weclapp shippers:

Several packers

The same setup at several stations, plus a separate filter on the deliveries for each person and QR code login, so nobody types passwords at the packing station.

Many sales orders with one item

Batch picking with Turbo Label: the cart collects the deliveries, and the label is already done when the item is scanned at the packing station.

Large B2B sales orders, pallets, freight forwarding

Packing check with box scan, serial numbers if needed. SSCC pallet labels and dangerous goods run via the carrier integration, for example Gebrüder Weiss or Dachser.

Batch-tracked products

Dietary supplements, ingredients, cosmetics: batch scan via GS1 code. One scan on the box selects item and batch; if the best-before date in the code differs from stock, the app warns you.

Sets and bills of materials

Packing check with bill of materials (BOM) flag: the set is scanned and the components count along.

What you need in weclapp

Item master data

An EAN per item (per variant for variants). Batch or serial number requirement on the item if you use these modes.

Custom attributes

Depending on the mode, a few custom attributes on the delivery or item, for example “can only be confirmed by scan”, “bill of materials” or “does not need to be scanned”. We set them up with you.

Printer

A label printer that can be reached via weclapp print jobs; optionally separate printers for customs and dangerous goods documents.

Hardware at the packing station

A handheld scanner that behaves like a keyboard and ends the scan with Enter (a 2D scanner for DataMatrix and QR codes), plus a browser.

Scan and print, customs, dangerous goods

The scan is the trigger, and three things depend on it.

Label printing

Print the label on the shipping scan, regenerate the label for deliveries that have already been shipped (only with the setting "Allow double shipping"), printer assignment per document type. Print automation with weclappOS

Customs

Customs data comes from the weclapp items and ends up in the customs documents when the label is printed, with no extra step at the packing station. Customs automation 4 weclapp

Dangerous goods

ADR check and transport documents are created on shipping from the dangerous goods data of your items. Dangerous goods 4 weclapp

What works where

Prerequisites and limits per mode, so you know in advance what to expect.

01

Delivery note scan

Standard in every installation. Scans the weclapp delivery number; with the setting "Scan sales orders instead of deliveries" it scans the sales order number instead, and the delivery is then created automatically.

02

Tracking number scan

Optional setting for deliveries where the tracking number of an external label is already stored in weclapp; we set it up with you. A shop order number cannot be scanned.

03

Item scan

Needs an EAN or item number on the item. Items without an EAN, batch or serial number are confirmed manually, with a reason.

04

Box scan

Needs the boxes as items with an EAN in the weclapp article category “Versandmaterial”. One label per box for all carriers that support multi-package shipments.

05

Batch scan

GS1-128 and GS1 DataMatrix with GTIN, batch and optionally best-before date, alternatively the plain batch number. The item must be batch-tracked in weclapp; we enable the GS1 variant for you.

06

Serial number scan

Exact serial number against weclapp stock or IMEI with check digit via the comment scan; double scans are detected.

07

Batch picking and Turbo Label

Rolled out with selected customers. Turbo Label only for deliveries with exactly one item in quantity one, because the labels are generated in advance at the carrier.

08

QR code login

QR label with a revocable token, no passwords at the packing station. Permissions remain those of the linked user account.

Webinar recording: Fulfillment 4 weclapp at the packing station

In the webinar with weclapp, we show the app live at the packing table: scan the delivery, confirm the goods, print the label. The recording is from spring 2024; some of the modes described below have been added since.

Frequently asked questions

Which scanners work with Fulfillment 4 weclapp?

Handheld scanners that behave like a keyboard and end every scan with Enter, via USB or Bluetooth. For GS1 DataMatrix codes and the QR login, you need a 2D scanner. The app runs in the browser and can be installed as a web app, on handhelds as far as their browser supports it. There is no camera scan via smartphone.

What needs to be prepared in weclapp?

Items with an EAN, batch or serial number requirement if needed, and depending on the mode a few additional fields that we set up with you. Deliveries come from your weclapp sales orders as usual.

Can I combine the scan modes?

Yes, they build on each other: the package view is the base, the item scan builds on it, and the box scan on that. Batch scan runs within the item scan. Batch picking and scan-to-login are separate building blocks that you activate independently.

What happens when a scan doesn't match?

The app plays an error tone and shows a clear message: item not found, already scanned in sufficient quantity, batch reserved for other orders. Shipping only happens once all lines are confirmed.

Can the app change quantities in weclapp when something is missing?

In one clearly limited case: if you mark a line as out of stock or damaged, the app ships only the quantity actually packed and creates a new delivery for the rest in the weclapp sales order, with a webhook to your team on request. Everything else, such as items or prices, stays in weclapp. The prerequisite is the active item scan.

Is the shipping label printed automatically on scan?

Yes, via weclapp print jobs to the printer you store in the app. How label printing, reprinting and printer assignment work in detail is described on the page Print automation.

Which scan workflow fits your packing station?

Not sure? We look at your setup together, from the scanner and the item master data to the label printer, and tell you which combination you really need.
