Which questions can an IT system house ask contracts and tickets via AI?
With wals.pro AI 4 weclapp, as an IT system house you can ask your weclapp five kinds of questions: which contracts are expiring, which tickets are open, which open items a customer has, how many hours a customer has booked per month, and what to reply and book in a ticket. Reading works immediately, writing only after a preview and your approval. The example dialogs below use invented data.
How every answer is structured
For each question you see what is being asked, what the AI reads for it and whether approval is needed. The dialogs are shortened. The rule behind it: the AI never writes without asking. Preview, approval, log. How the approval works technically is on the page wals.pro AI 4 weclapp.
The AI works in your weclapp via the connected user in weclapp (the API key user). Their permissions apply, and replies (comments) appear under their name. For time bookings you specify the booking person, the preview shows them; under whose name the booking appears depends on the setup. Whoever sets up the connection therefore decides which user the AI works with.
1. Which contracts are expiring soon?
You ask: “Which contracts expire in the next 90 days?”
The AI reads: the contracts with customer, end of term, renewal, items and prices.
Answer (fictional): “Seven contracts end in the next 90 days, four of them renew automatically. The first three:
| Customer (fictional) | Contract | End | Renewal | Annual value (calculated) |
|---|---|---|---|---|
| Nordwind Muster GmbH | Server maintenance | 30.11. | automatic | €2,160 |
| Nordwind Muster GmbH | Client maintenance | 31.12. | automatic | €3,600 |
| Beispiel Spedition GmbH | Service flat rate with hour quota | 09.01. | expires | €4,800 |
I appended the remaining four by end of term.”
Approval: no, read only.
2. Where is the ticket backlog building up?
You ask: “Which tickets are open per customer and assignee, and which are older than five days?”
The AI reads: open tickets, filtered by status, customer, assignee and creation date. It assembles the distribution by customer and assignee from several queries, it is not a ready-made report.
Answer (fictional): “23 tickets are open, 6 of them older than five days. The six are distributed like this: Beispiel Spedition GmbH 4 (all with Jana K., 2 with high priority), Nordwind Muster GmbH 1 (Tom R.), Muster Handel GmbH 1 (unassigned). Someone should take over the ticket without an assignee.”
Approval: no, read only.
3. Who owes us money?
You ask: “Which customers have open items, and what is the total per customer? Beispiel Spedition GmbH first.”
The AI reads: the open items from weclapp's open items list (not the invoice headers, so that canceled invoices don't count) and sums the amounts per customer. This is a query, not an accounting evaluation: your accounting holds the binding status, and “open past due date” is not yet default and not a dunning notice.
Answer (fictional): “11 customers have open items, €31,940 gross in total. Beispiel Spedition GmbH ranks third with three open items totaling €4,280 gross, the oldest has been open for 41 days past its due date.”
Approval: no, read only.
4. How many hours are booked?
You ask: “How many hours has Nordwind Muster GmbH booked this month?”
The AI reads: the customer's time bookings in the month and sums them. This is a query over booked times; it does not calculate a quota balance from it.
Answer (fictional): “7.5 hours are booked in the month.”
Approval: no, read only.
5. Answer a ticket and book time
You say: “Answer ticket 4711 and book 30 minutes for Jana K.”
The AI reads: the ticket with history, the customer's context and the booking target the time belongs to, here the service item of the project order.
Answer (fictional): “I have prepared two previews. First, the reply to Lena Beispiel as a visible comment, it goes to the contact person after your approval: ‘Hi Lena, the printer was connected to the wrong server. We have corrected that, please test the printout briefly.’ Second, 30 minutes for Jana K., as you specified, on the service item of Muster Handel GmbH's project order. The item is billed by effort, so the time is billable. Should the reply become an internal note instead?”
Approval: yes, twice. Reply and time booking are two separate previews with their own approval each. If a customer has an hour quota, the time in weclapp counts either toward the quota or toward an order task, not both. This is also how our own helpdesk works: read ticket, pull context, draft reply, time booking in the same pass, approval by a human.
The five questions at a glance
| Question | Reads | Writes | Approval |
|---|---|---|---|
| Contracts of the next 90 days | Contracts, items, terms | nothing | no |
| Open tickets, older than 5 days | Tickets by customer, assignee, date | nothing | no |
| Open items per customer | Open items list, totals per customer | nothing | no |
| Booked hours per customer and month | Time bookings, total | nothing | no |
| Answer ticket, book 30 minutes | Ticket, history, order | Reply, time booking | yes, per change |
Beyond that, the AI can adjust contracts individually, for example items, prices or periods. Every change runs through its own preview with approval. What that looks like with many contracts is covered in Adjusting contract prices in bulk.
What we don't promise as a ready-made feature
- SLA reporting: weclapp manages SLA targets with assignment, response and resolution time per priority, carries an SLA from the contract into the ticket and notifies on breach per target. We found no multi-level escalation chains and no ready-made SLA report, and wals.pro AI doesn't deliver one. More on this in How does time get from the ticket onto the invoice?.
- Profit per contract: What's possible is revenue per customer. It is a query over invoices in the chosen period, net and without canceled documents. You check credit notes and currencies in the query. We don't deliver a profit calculation per contract.
- Bulk changes: The AI changes contracts individually with preview and approval. In weclapp itself, according to the documentation, contract items can be changed in the overview via bulk edit; which fields, you check in your tenant.
When this doesn't fit
- You use weclapp without helpdesk and contract management. The add-ons are only available with ERP Dienstleistung or ERP Handel, and questions 1, 2 and 5 presuppose them.
- You're looking for a tool for remote monitoring (RMM), a device master with contract reference, the connection to distributors for Microsoft license billing, or dispatch planning for technicians. We did not find that in weclapp, and wals.pro AI doesn't deliver it.
- Your data in weclapp has gaps: times are only entered at the end of the month, tickets have no customer. Then the answer has gaps too. The setup that helps is covered in ERP for IT system houses.
- You may not or do not want to feed customer data into an AI system. wals.pro AI 4 weclapp processes data from your weclapp, including your customers' personal data. Clarify the data processing part with the person responsible for data protection at your company before you set up the connection.
What does it cost?
Getting started is free permanently, without credits. Until 31.12.2026 all features are free, after that there are paid tiers by scope. Market observation, not a comparison: in a sample from October 2026, 9 of 14 examined vendors from ERP, CRM, helpdesk, professional services automation (PSA, the industry tool for tickets, time and billing) and IT service management charged separately for AI use, for example via credits or per action. The sample is small and not representative.

FAQ
Can the AI change anything in my weclapp without my seeing it?
No. wals.pro AI shows you every change first as a preview. Only after your approval is it written, and the approval applies only to exactly this content and exactly once. Every action is logged. The activity log in the tenant can be viewed depending on scope; until 31.12.2026 all features are free. Read-only questions need no approval.
Under whose name does the AI write in weclapp?
Comments appear under the name of the weclapp user whose API key you connected to wals.pro AI, and their permissions apply. For time bookings you check the booking person in the preview; under whose name the booking appears depends on the setup. Therefore set up the connection with a user whose name and permissions fit the task.
What do I need in weclapp for the dialogs to work for me?
weclapp charges the Helpdesk and contract management add-ons at €55 per month per person each (weclapp list price, as of October 2026). For ticket billing we assume at least ERP Dienstleistung. In addition you need maintained tickets with customer and booked times. For booking via AI there needs to be a target: a ticket or a confirmed order with a service item, for billable time with an effort reference. weclapp itself can also bill directly from the ticket.
Which questions can the AI not answer?
Anything that isn't in weclapp: device states from a monitoring tool, a device master with contract reference, license quantities at the distributor or dispatch planning. A ready-made SLA report, profit per contract and a binding status of open items are also not ready-made features. The AI evaluates what is booked and maintained.
What does wals.pro AI cost?
Getting started is free permanently, without credits. Until 31.12.2026 all features are free, after that there are paid tiers by scope. You register for free at ai.wals.pro and query your own data. The weclapp add-ons Helpdesk and contract management, which tickets and contracts presuppose, you book and pay separately with weclapp. They are not part of wals.pro AI.
