How do I change a quotation item in weclapp with AI without creating a new quotation?
Your customer calls: “The quantity on item 2 is wrong, please make it eight instead of five.” In sales, that should be a quick fix. If you prefer to manage quotations in conversation with an AI assistant, you need a way that touches nothing but that one quantity.
The problem: the item list is a replacement list
weclapp treats the item list of a quotation as a replacement list. If you send only the one changed item, you have lost the others, with no confirmation prompt and no error message. That makes changes through an interface risky. In day-to-day work, the way out was often a detour: create a new quotation, enter everything again, put the old one aside. Every change became a variant, and after several rounds of negotiation nobody knew for sure which quotation was the valid one.
The solution: only what you name changes
With wals.pro AI 4 weclapp, you change items of an open quotation directly. Your assistant sends only what changes. Everything else stays untouched, without having to be repeated. What isn't named isn't touched.
How it works:
- The assistant reads the quotation and tells you the current items.
- You say what should change, for example the quantity on item 2.
- The preview names every changed field, before and after.
- Only after your approval is anything written. Afterwards the assistant reads the quotation again and checks the number of items, quantities, prices, discounts and articles.
Your approval applies to exactly the state you saw in the preview. If someone has touched something in the weclapp window next to it in the meantime, nothing is written. The assistant reads again and shows you a fresh preview. If a figure doesn't match your approval after writing, it reports that as needing review rather than as a success. You can find more on how approvals work in wals.pro AI in the help article Approvals.
Even after the PDF: a new version instead of a variant
If the quotation PDF has already been created and the quotation is therefore closed, you can reopen it. This creates a new version under the same quotation number, and exactly one version is the active one. The assistant works on the active version and doesn't edit an outdated one. It rejects item changes for quotations that have already been accepted or that are not the active version of their chain. That way it stays clear which document applies.
Result
The call from above is a quick fix again. Your assistant reads the quotation, changes the one quantity, shows you the difference, gets your approval, writes, and then tells you the new total. The other items are unchanged, and that is verified by reading back rather than assumed. No second quotation, no cleanup and no doubt about which version counts.
What it is not
It is not a way around the approval step: every change shows beforehand what will change and needs your yes. You don't change accepted quotations this way. The item change isn't tied to any particular plan; on the free plan it counts toward the limited monthly write quota. It applies only as far as your weclapp access is allowed to change the quotation.
