ERP and helpdesk for IT service providers and MSPs

Which ERP covers contracts, tickets, time and invoices for an IT service provider or MSP?

With ERP Services and the Contract Management and Helpdesk add-ons, weclapp covers the commercial side of an IT service provider or MSP: contracts, tickets, time, service reports and invoices in one system. Depending on the assumptions, the sample calculation for 10 employees comes to €1,300 to €1,960 per month, and from €1,454 with hardware trading (net, weclapp list price, as of October 2026, assumptions open). Remote monitoring (RMM) is not included; further gaps are listed in the matrix.

Walk through the IT service provider setup with your numbers

What does an IT service provider need on the commercial side?

An IT service provider sells recurring services and hours. It needs maintenance contracts, a ticket system, time booking, hour allowances and, at the end of the month, an invoice with a service report, plus quotes, CRM and accounting.

The industry tool for this is called PSA (Professional Services Automation): tickets, time and billing in one tool. Remote monitoring (RMM) often runs as a separate tool alongside. In rollouts at IT service providers, we see that time is gathered customer by customer at the start of the month before invoices are created. weclapp runs this chain in one system, with the gaps the matrix shows.

The Helpdesk and Contract Management add-ons are only available with ERP Services or ERP Trade; ERP Starter is ruled out. All prices are net.

How we set it up for IT service providers

This process is wals.pro's own practice from rollouts at IT service providers, not weclapp documentation:

  1. Create a quote.
  2. From it, a contract with only the recurring items is created and, for time-and-materials customers, a project order. You set the billing mode on the item.
  3. Mail-to-ticket identifies the customer by the sender address (not unambiguous for freemail or when several companies share a domain). For time-and-materials customers, a webhook flow (n8n or Power Automate) links the ticket to the project order; customers with an hour allowance stay without a project order. How many requests the flow may send is covered under Does the weclapp API have a rate limit?.
  4. All time is booked, billable or at €0. Travel time is its own item.
  5. Customers with an hour allowance get it as a product; the contract creates a sales order with the allowance item each month. They book against the allowance, while time-and-materials customers book against tasks of their project order. How to bill extra hours is covered in How do I bill maintenance contracts, licenses and managed services on a recurring basis?
  6. The contract bills at the start of the month; the hours of time-and-materials customers follow at the end of the month via their project order.
  7. Every period comes with a service report. For fixed-price customers, we create a service report so the effort stays visible. Whether a €0 document is also useful, you clarify with your tax advisor. This is not a substitute for tax advice.
  8. wals.pro AI 4 weclapp helps with quotes, contract changes and tickets, always with preview and approval.

In the first billing month, we reconcile the project order and ticket time before the contract run bills automatically. Invoices from your own billing system: Subscription invoices via API.

Example (fictional): A month at an IT service provider with 60 contracts

A fictional IT service provider has 15 employees with weclapp access, nine of them in the office, and 60 maintenance contracts. At the start of the month, the contract run bills their recurring items. Customers with an hour allowance book against the allowance, time-and-materials customers against tasks of their project order. At the end of the month, a fixed routine decides which hours are billed. The example is made up and shows the sequence, not time savings.

What can weclapp do for an IT service provider, and what can't it?

What does it cost? Calculation scheme for 5, 10 and 20 employees

Disclosure: wals.pro is a weclapp partner. The calculation scheme uses the public price list, not negotiated terms. Monthly costs in euros, net, weclapp list price, as of October 2026, not a quote.

Position5 Mitarbeitende10 Mitarbeitende20 Mitarbeitende
ERP Dienstleistung, 86 € (jährliche Buchung)430 €860 €1.720 €

Summe (Zeile 4), aber alle auf ERP Handel (+77 € je Nutzer:in)1.090 €2.070 €4.085 €

Assumptions of the calculation scheme:

  • All employees have weclapp access on ERP Services.
  • The add-ons cost €55 per person per month; they are calculated for the people who work with them (technicians: Helpdesk, office: Contract Management).
  • No volume discount: for more than ten licenses, weclapp creates an individual quote; whether add-ons count toward that, we leave open. The calculation scheme uses list prices throughout.
  • Without rollout, a monitoring tool and an automation tool for the flow in step 3.

weclapp covers ERP, accounting, CRM, helpdesk and contracts in one system; monitoring remains a separate tool. Put your current tool costs next to the calculation scheme. We don't state any savings.

How does the AI bill, and what can it do at an IT service provider?

Many vendors bill AI separately, for example by credits, action, resolution, agent or call; the models keep evolving. The page Per document or per user explains the models. For wals.pro AI, this applies: free entry tier permanently, no credits, all features free until 31.12.2026, after that paid tiers by scope.

Quotes are created as a preview and set up after your approval. The AI reads and analyzes contracts; changes to items, prices, periods or billing mode each go through preview and approval. For tickets, it reads instantly; creating, setting status, commenting and booking time run with preview and approval. It books time to exactly one target (ticket, sales order or task), against an hour allowance on request; only for a sales order, that order must be confirmed.

The AI never writes unasked: preview, approval, log. Each approval applies to exactly one change (payload-bound one-time approval via SHA-256). It works with the permissions of the weclapp user whose API key you store. In your own helpdesk, an AI agent drafts the reply and books the time; a human approves. The page wals.pro AI 4 weclapp describes the technology and the full feature set.

When is this not a fit?

A fit

  • You want to manage contracts, tickets, time and invoices in one system and keep monitoring separate.
  • Du willst eine Kette, die wir bei Systemhäusern schon eingerichtet haben und selbst im eigenen Helpdesk betreiben.
  • Du willst KI im Alltag nutzen, die nie ungefragt in weclapp schreibt.

Not a fit

  • You need remote monitoring (RMM) in the same interface.
  • You need a device inventory linked to contracts (CMDB).
  • You expect a connection to the Microsoft Partner Center for CSP licenses. We did not find one.

Frequently asked questions

Do I need a PSA tool alongside weclapp?

For contracts, tickets, time booking, hour allowances, service reports and invoices, weclapp with the two add-ons is enough if you link ticket and project order via a flow. If you miss dispatch planning for technicians, a device inventory linked to contracts, multi-level SLA escalation or the connection to the Microsoft Partner Center, we found no documentation for these in weclapp. Remote monitoring remains a separate tool.

What does weclapp cost for an IT service provider with 10 employees?

In the calculation scheme it comes to €1,300 per month net if all ten work on ERP Services (€86, with annual billing), six use the Helpdesk add-on and two use Contract Management. If each of the ten people gets both add-ons, it is €1,960. With two users on ERP Trade for hardware, it is €1,454. Volume discount and rollout are not included.

Do I need both add-ons for all users?

No. The add-ons cost €55 per person per month each, and you book them for the people who work with them. In the calculation scheme we calculate it this way (3 / 6 / 12 Helpdesk, 2 / 2 / 3 Contract Management) and show for comparison what all employees with both add-ons would cost.

Can weclapp bill maintenance contracts automatically?

Yes. For each contract you set the billing day and billing type: sales order, invoice before or invoice after the period. The run bills the active contracts every night from 3 a.m. We did not find an index or clause automation, but contract items can be changed via bulk editing. Details: Billing maintenance contracts on a recurring basis.

Can the AI change contracts and tickets?

Yes, but never unasked. The AI reads and analyzes contracts; every change to items, prices or periods comes with its own preview and approval. For tickets, it can create, set status, comment and book time, also with preview; it books time to a ticket, a sales order or a task. Every action appears in the log.

Does wals.pro AI bill the AI via credits?

No. For wals.pro AI, this applies: free entry tier permanently, no credits, all features free until 31.12.2026, after that paid tiers by scope. Other vendors choose other models: many vendors of ERP, CRM, helpdesk, PSA and ITSM bill AI separately, some include it in the price; the models keep evolving. Also calculate each model for a month with double the usage.

Is weclapp a fit for an IT service provider with hardware trading?

Yes, with the ERP Trade package. It includes merchandise management, planning and purchasing, warehouse management and serial and batch numbers, and costs €77 more per user per month than ERP Services (with annual billing). It does not give you a device inventory linked to contracts. Whoever handles purchasing and warehouse needs Trade. Whether hardware can be booked cleanly as a service item, you clarify with weclapp and your tax advisor.
