Loading aids (transport, conveyor, storage aids, loading equipment) can be used to store or transport goods inside and outside the warehouse. They are used to form loading units and combine several individual freight or transport goods into larger units. Transport reference is a separate, uniquely identifiable inventory, consisting of a loading aid, a loading aid ID and the goods stored on it, and enables many information about it to be retrieved.
weclapp distinguishes between permanent and temporary transport references:
- Permanent: e.g. plastic boxes, reused for storage and transport, are provided with an internal transport reference once, e.g. barcode. The current inventory can be viewed by scanning the barcode or calling up the internal transport reference in weclapp.
- Temporary: are created when goods are moved in goods receipts and transport orders (also picking orders). When a loading equipment ID is selected, an internal transport reference is automatically generated. Temporary transport references are not permanently in the system and can be canceled again, for example, by relocation or removal from storage.

Advantages and use of loading equipment and transport references
The use of loading aids and transport references brings with it a number of advantages. Restrictions in storage locations, pallet sizes or transport orders can be used efficiently. On the other hand, they make it easier to record and manage pallets and transport boxes.
Permanent transport references are particularly useful because items can be booked onto reusable load carriers. These load carriers have a fixed storage location and by scanning the transport reference, the current inventory can be determined quickly and easily.
Inventory-based loading aids such as pallets or boxes also have a financial value that is relevant in the HGB inventory valuation. These loading aids are ordered and are used up when deliveries are made, so that disposition is also possible.
This means that it is now possible, for example, to track the consumption of your boxes during shipping and, with the weclapp logistics app, even to scan the box that you used to ship the respective delivery when you remove it.
Since September 2023, it has been possible to track which goods are in which box for each transport order using a packaging material as part of the scheduling process . This makes visual inspection unnecessary.
Another resulting possibility is the height calculation of the pallets : The length and width of the pallet as well as the dimensions of the products are used to determine the pallet height, which previously had to be laboriously measured and manually entered into weclapp.
The following formula is used:
- For each item the volume is calculated, length x width x height.
- A safety margin is added to the total volume.
- The total volume is divided by the length and width of the pallet.
The result is the height of the pallet. This calculation can be carried out automatically for every delivery that is sent by a freight forwarder, for example using Power Automate.
