From tool mix to process platform in three months

In drei Monaten vom Tool-Mix zur Prozessplattform

tellma replaces seven isolated tools with weclapp, goes live after three months, and saves over 100 hours of work – including sales, purchasing, and production. wals.pro is responsible for the weclapp implementation in the standard version, connects the shop floor (production) with a proprietary production terminal app, and has provided ongoing support for tellma since the go-live. The result is a robust foundation that enables seamless growth.

Starting point: Ambition meets complexity

In 2020, tellma GmbH in Füssen emerged from an internal project with the goal of rethinking video communication as a product and service offering, offering hardware, SaaS, and consulting from a single source. While technically compelling, it hampered the organization: seven tools without any connection, Excel as a workaround, and media disruption in day-to-day operations. The conclusion was clear: A central system needed to create transparency, organize responsibilities, and grow with the company.

Decision: Standard before special path

In a focused evaluation, we prioritize modularity, security and data protection standards, and updateability. As a certified weclapp partner, we recommend weclapp not as an end in itself, but as a platform that directly reflects real business: a sustainable launch, followed by targeted optimization. "We operate an extremely complex business – and have done so from day one. Without weclapp, we would have quickly reached our limits," says Managing Director Florian Hutter. This sentence sums up the essence: Without a near-standard ERP core, growth would have been possible only with disproportionate effort.

Introduction: Three months until go-live

The ERP implementation is taking place under extreme time pressure and with a broad range of functions. We are planning the launch like a production facility: clear milestones, short decision-making processes, consistent work on standards, robust testing and acceptance. After three months, tellma is in go-live mode; seven individual solutions have merged into an integrated platform, data is consistently available, and processes are consistently manageable. "Fast, sustainable decisions secured the schedule," Markus Wals summarizes the implementation. The result: stability in day-to-day operations, plannable expansions in line with business growth.

Shopfloor connected: The production terminal app

At the same time, the wals.pro production terminal app is being developed as a streamlined bridge between ERP and production. The application records produced quantities (unit numbers) on the shop floor and writes them back to weclapp in real time. The interface is tailored to the production environment: robust, clear, and fast. This ensures that valid shop floor data flows directly into planning, controlling, and continuous improvement – providing the basis for clean control in day-to-day business.

Impact in operation: From fragments to flow

The changes are immediately apparent. Media disruptions disappear, redundancies are eliminated, and order processing noticeably accelerates. Customer communication and internal coordination become more reliable, and collaboration with tax advisors is streamlined. Today, tellma makes particularly intensive use of warehouse management as well as quotation, project, and contract management – not as loose modules, but as a continuous process. When a second location for logistics and shipping was added, it was seamlessly integrated into existing processes. "weclapp helps us make our business possible. Thanks to the sophisticated processes, we are now scalable – previously, this was limited by human capacity. This has enabled us to save over 100 hours of work," says Florian Hutter. The effect goes beyond efficiency: decisions are made on the basis of consistent data, and scaling becomes an option – not a risk.

Collaboration: Expertise that sets the pace

A key factor in the speed is the collaboration with Florian Hutter. His precise understanding of processes and consistent prioritization of "standard over special" ensure the solution is updateable and the implementation efficient. Decisions are made close to the process and close to the system – this is exactly how we continue the partnership in ongoing support: with short response times and practical answers that stabilize operations rather than interrupting them.

Outlook: Scaling on a resilient basis

With weclapp as the platform and the production terminal app as a shop floor accelerator, tellma has a process landscape that is growing without losing stability. The next steps – further automation, in-depth reporting, additional locations – are built on a consistent database and can be implemented in a planned manner. wals.pro remains on board: as a partner in operations, as a catalyst for improvements, and as a guarantor that standards and speed go hand in hand.
